When is this site diary template useful?

Use the template to record construction progress, contractors on site, weather, notable events and outstanding issues. It is designed for a manageable daily record. Reference larger photo collections and inspection documents by clear filenames instead of squeezing them into a spreadsheet cell.

Before the first entry, agree who maintains the diary, who contributes information and who receives the completed record. Record observations promptly. If information arrives later, identify the addition and its actual recording date.

How to complete the site diary

Start with the project, site address, date and author. Describe completed work by area so somebody who was absent can understand progress. Include quantities and times only where you can attribute them reliably, and label estimates clearly.

Separate your own observations from information supplied by others. Instead of writing “material missing”, record that the site manager reported a delivery missing for section B and that you have not yet checked the delivery note. This preserves the distinction between a report and a verified finding.

  • Work: trade, precise area, activity and observed progress.
  • People involved: company and relevant role; limit personal information to what is needed.
  • Weather: observation time, source and specific effect on the work.
  • Events: interruptions, meetings, deliveries and references to attachments.
  • Outstanding issues: next action, responsible contact and agreed date.

Fictional example: recording a delay clearly

This example is entirely fictional: on 13 October 2026, partition installation continues on the ground floor between grid lines B and C at the “Musterhof” project. Material transport is interrupted from 10:15 to 11:00 because the agreed delivery area is occupied. The site manager is informed at 10:20. Photo B-013 shows the area; the cause of the obstruction remains to be established.

The entry records an observation and communication. It does not establish fault or an accepted payment claim. Any separate contractual notices must still be assessed and submitted through the required process.

Checks before sharing

Compare the daily record with its photos and notes. Keep corrections traceable rather than silently removing inconvenient findings. Retain the version that was shared, with its date, and decide where the original attachments will remain accessible.

  • Are the date, work area and source of each important statement clear?
  • Are unverified reports, estimates and open questions identifiable?
  • Do photo references and attachments belong to the day described?

Requirements, evidence and limits

HOAI Annex 10.1 lists documentation of construction progress in service phase 8, with a site diary as an example. Your contract determines the services owed. This template is neither an official authority form nor assurance that every project-specific requirement is met.

BG BAU requires records including helper hours for private construction helpers. Those records serve a different purpose from a construction progress diary. Use BG BAU’s relevant information and reporting process. A PDF created from this template does not provide tamper-proof archiving.
